Data Retention Policy

1. Overview

At ReachTag, we only keep the data we absolutely need, and only for as long as we need it. This Data Retention Policy outlines our aggressive data purging schedules and how we minimize our storage footprint to protect your privacy.

2. Pure Web-Based Calling (No Caller Phone Numbers)

When a scan occurs, the caller initiates the connection entirely through their web browser. We never ask for, collect, or know the caller's personal phone number. The entire communication bridges seamlessly over the internet to the vehicle owner without ever requiring the caller to expose their identity or telecom details.

3. Call History and Analytics

We store call metadata (timestamps, duration, outcome, and the vehicle's associated tag) to provide analytics to organization administrators. This metadata is retained for 12 months, after which it is aggregated into anonymous statistics and the individual records are permanently deleted.

4. Admin Audit Logs

To ensure security and compliance, actions taken by administrators (such as revealing masked PII) are logged in our secure audit trails. These logs are immutable and are retained for 24 months to comply with security auditing standards.

5. Account Deactivation and Deletion

If an organization deactivates its account, the data is soft-deleted and retained for 30 days to allow for accidental recovery. After 30 days, or immediately upon an explicit "Delete Organization" request, all underlying vehicles, tags, call histories, and alerts associated with that organization are permanently and irreversibly destroyed via cascading database deletes.
